Event management software firm Active Network has launched a new suite of mobile applications for meetings and events that is designed to encourage attendees to engage with meetings' goals and conferences' brands, while helping the executives running them to better and more efficiently respond to attendees' needs. While Active Network has explored the possibility for years, it felt that earlier technologies were not good enough - for example, Bluetooth requires a multi-step device pairing before the exchange, and would drain mobile batteries too fast, says Miller.

An Event Management Software firm has launched mobile applications for specific meetings and events to encourage attendees to participate and review certain aspects of the specific event. The company has been in the mobile industry for a few years now and are working their way up the ladder with some pretty large events. The mobile apps the company offers are quite interesting and are a great way to keep the people attending the event involved. In a specific case during a presentation a guest speaker was not fully understood by some people and the attendees were able to review the speaker afterwards saying they didnt totally understand the technology of the app allowed the speaker to come back out and clarify themself. The company is certainly going in the right direction and offers great technological advances to a variety of different fields who host conferences and business events.

How Meetings Benefit From Today's Technology - Meetings And Conventions - 0 views

  •
The term "meetings technology" is broader than ever. This article listed some of meetings technology. . Mobile Apps There are two categories of mobile apps are particularly relevant to meetings. The first is "Meetings management apps". These often are free and provide planners the ability to tap into web-based meeting platforms from their mobile devices while on-site or in transit. The other one is "Meeting apps for attendees". Think of these as "electronic event programs plus." These event-specific apps may be downloaded by attendees, nearly always for free, and can include all of the speaker, scheduling, seminar, keynote and attendee information, along with exhibit floor maps, that might be found in a printed program. . Social Media for Events Social-media platforms now represent a common way to quickly interact with large numbers of people, meaning these are natural places for beginning a dialogue before a meeting or continuing to communicate afterward .Virtual/Hybrid Events The age of the hybrid event, in which some kind of virtual component is added to a physical event to engage off-site attendees.

Mobile App vs Mobile Web: An Event Organizer's Guide - 0 views

  • It may be tempting to just build an app, but is an app really what you need?
  • By far the most familiar way for people to engage with content on their smartphones is through an app.
  • Many of the hits to your existing event website may already be coming from mobile devices, and delegates are far more likely to search for information about your event through their smartphone’s Internet browser as their first port of call, rather than looking to their app store.

  • “Why do you want to offer a mobile access point to your event in the first place? What do you want to let your delegates do?”

This article gives pros and cons of mobile apps compared to mobile websites for event planners. Of course each have their positives and negatives. I think the decision of going mobile app or website depends on the people who are attending your event. If it's more of an older business crowd, I think a mobile website would be most appropriate. You can email the web address to all attendees and then they can click into it straight from the email on their smartphone. This can work with any phone that supports a web browser so you don't have to worry about developing an app for iPhones, Androids, and Blackberries. If the attendees are younger and more tech savvy, an app is probably the way to go since that can incorporate parts of their phone like the camera. Younger people are more apt to take pictures and post them to twitter or facebook. With the app they could do that right in the app and connect to more of their peers that way. Younger attendees are more likely to go through the trouble of downloading the app and using all of its features whereas older, more business oriented attendees are more likely to appreciate the ease of use of just clicking on a web link. At any rate it's an interesting choice to make if you are unable to afford both options.

Top 10 Event Management Trends for 2019 - Eventina - 0 views

  • Smartphones have more capabilities and connections to our lives, event tech is becoming more reasonably priced and targeted to individual needs, and tech that used virtual and augmented reality was on many people’s gift-giving lists this year.
  • Instead of long-winded speeches, short talks are combined with activities that let the audience learn first-hand how to apply what they learned. Hands-on experiences have the advantage of adding extreme value to learning, while also aiding in the stress reduction of the attendees. To facilitate an even deeper level of immersion, make sure your sessions have definite time frames and tangible incentives.
  • Traverse the communication gap: Use remote translation services. Finding local translators isn’t always easy. With this type of technology, translators could be available remotely or through an app giving your attendees a good communication experience regardless of time and where they are at your event. Save money using remote translation services. Apps don’t have to be paid hourly, for travel, or incidentals. Use subject matter experts regardless of their knowledge of the language that most of your attendees speak. This frees up the selection process to find the person who knows the most without sacrificing attendee experience or understanding.
  • ...3 more annotations...
  • Harness the power of chat for a better response: Design a system to answer questions with chat. It’s faster for attendees and won’t tie up your staff with the same old “where is the restroom” type question. Use chatbots for exit surveys. They are much more adept at matching questions with answers and using “if, then” pathways for more meaningful information gathering. Plus they’re fun for your audience. Employ chatbots to assist attendees on next steps. Voice assistants have become wildly popular because they’re easy and enjoyable to use and they act as our own personal attendant. They can remind us of engagements as well as tasks. Use chatbots to tell attendees if their silent auction bid was trumped or what their next session is and where it’s located.
  • Use live 360-degree video (what many refer to as VR) to connect remote audiences. Give them the opportunity to attend an event together in order to bolster buying online-only tickets.
  • Host a health fair as part of a larger medical society conference. This leads to raised awareness, gives back to the destination city, builds brand awareness, knowledge and support and, ultimately, affects those members of the public that participate.
  •
Great article looking at the trends in events, many of which I have witnessed this past year. What I would like for the class to read is the description of awareness based events. As my husband's an associate dean of a hospitality school, he worked with his event and conference manager and his dietetic program chair to create an interactive health fair looking at diabetes education and attracted 300 participants. I observed the power of community based programming in the event space and how this type of programming may be the future.

Ten Fresh Event Safety Tips for a Brave New World - 0 views

  • From eliminating foreseeable risks to being prepared for the worst, there’s never been a more critical time for event marketers to arm themselves with the intelligence and resources necessary to maintain safe and secure event
  • In the event of an emergency, especially a medical crisis, documenting the incident is vital to keeping insurance premiums in check and staff informed.
  • “You want to document everything to make sure your insurance is covered, your event is covered and everyone knows what happened,” says Connor Fitzpatrick, coo at event medical services company
  • ...13 more annotations...
  • When it comes to selecting a location for your event, make sure the venue is willing to do its part to communicate key messaging to attendees. Remember: if an incident occurs, cooperation will be key.
  • Might sound like a no-brainer, but establishing exactly who is in charge of what and when can save precious minutes in an emergency. From brand ambassadors to event managers, everyone should be crystal clear about what their role entails.
  • “The key thing here is when it comes to decision-making, who is in charge?” says Shannon Jones, vp at Civic Entertainment Group. “The chain of command at an event needs to filter to the overall broader chain of command in an emergency situation as it relates to the company or brand.”
  • The uptick in terrorist attacks, including the Las Vegas shooting, which was executed from a hotel room and stands as the deadliest mass shooting in modern U.S. history, has many event marketers on edge. And while planning for these types of crises is essential, don’t assume that past tactics will be used at future events
  • The approach may vary depending on your budget, but implementing an attendee screening process is a highly effective security measure that can be executed before the event even begins. “Many events these days, particularly the corporate activation events, are free,” says Anthony Davis, president at AD Entertainment Services. “So, you have an audience that has not paid an admission or whatever format you use to access them.
  • Medical emergencies can, and do, occur at events of every variety, so having medical personnel on-site is crucial. Just as important is ensuring that the team is friendly enough for attendees to approach in the case of an emergency. Remember that uniformed first responders can be intimidating, especially in regards to drug-related incidents.
  • Hiring security staff is a great start when it comes to maintaining a safe event, but communicating your event’s layout, including areas of concern, is absolutely essential to getting the most bang for your security buck.
  • Bad news travels fast, so you have to be clear about who has the authority to develop crisis communications. (Hint: It’s not the guy handing out samples.)
  • You don’t want a brand ambassador or event staff taking it upon themselves to communicate what’s going on if there is some sort of emergency information. The cascade of information in that scenario is really critical as is deciding what the key points are and the information you want them to disseminate.”
  • When it comes to event safety and security, there is probably no more important document than your on-site emergency action plan. It’s an essential guide to navigating and preparing for foreseeable risks, informing event staffers of the appropriate safety protocol and ensuring insurance premiums don’t skyrocket
  • Every live experience is unique, so it’s important to establish priorities for taking action in a variety of emergency scenarios. If you fail to do so, you may find yourself in hot water with your employer, your insurance agency or the law.
  • In an industry that prides itself on producing unforgettable experiences, the last thing you want burning in your attendees’ minds is how poorly your staff handled an emergency. So, be informed, be attentive and be prepared—but don’t let the process get you down.
  • As Davis puts it, “For years we’ve taken it for granted that it’s a fun day, it’s a nice special event, let’s just get out and have fun. And we should still have that mentality. We shouldn’t let recent terrorist acts or potential acts deter us from producing special events. The onus is now on us to be more creative in terms of our staffing.”
  •
This article reviews ten tips on how companies can better prepare for event security. Based on recent terrorism attacks, threats, and natural disasters it is important to prepare for any type of emergency especially in events. This article offers insight on tips to navigate event security. For example, one tip is to document everything. In any type of emergency, it is important to document names of attendees and employees who were involved in the crisis. This way if insurance or any assistance is needed, companies have detailed information of who was involved or affected by the disaster. This article is very useful because some things can be forgotten however this can be used as points to discuss other security measures.

3 Ways to Elevate Your Corporate Meeting Experience | By Rigel Bitterman - Hospitality Net - 0 views

  •
I found this article to be interesting - it talks about how one can improve one's corporate meeting or event by implementing/using these three elements: experiential meetings, technology, and localizing. In short, with experiential meetings/events one tries to keep the attendees attention by giving them a memorable experience. According to the article, this is achieved by having the attendees speak up, participate, and engage. With technology, it is recommended to stay up to date, to help connect with millennials and younger attendees. And finally, with localizing, it was recommended to team up with local businesses for instance, to help create a more unique experiences to your (corporate) event's location.

Industry Insight: How Tech Is Changing Event Planning for Businesses - Eventsforce - 0 views

  • Smart technology is transforming the events industry, making planning easier and events more exciting
  • Organising an event is a logistical nightmare and one of the biggest developments is software to assist with tasks such as registration and email responses.
  • The second is around the collection and analysis of data.
  • ...12 more annotations...
  • Real-time feedback is also changing the industry.
  • Event speakers, for example, can now receive real-time feedback from audiences, which means they are able to change the way the session is going
  • Knowing exactly who turned up at your event and what sessions they attended is something every event planner wants to know. The information helps figure out popular topics and sessions. It also helps profile attendees.
  • Another application of real-time technology tools are on-site apps
  • is a hugely exciting development.
  • Data capture tools – from event registration systems and RFID to online surveys and event apps – are helping organisations collect valuable information on their attendees which can be analysed to create more powerful and customised event experiences.
  • Event personalisation
  • ou can use the data in the system to collate a report on all the delegates attending a particular session at an event.
  • You may share this list with all the other delegates attending that session to facilitate networking opportunities that are relevant to them.
  • You can break it down by company type, interests and goals and share the list with your session speaker.

  • “It’s going to be interesting to see how they will get used at events. Think about having the ability to track where people move in an exhibition area or trade show.  Or having the ability to broadcast live all the things happening on the show floor. It’s very exciting.”
  •
Technology is changing the overall event management experience making events more productive and fun. This article touches on things like advances in event organizing software, real-time feedback for speakers and data collection of attendees that can lead to personalizing activities throughout the event. I think most professional public speakers would say they already get real-time feedback from their audiences; no technology required. But for more novice speakers, that type of feedback would not only improve their session, but also help them hone their speaking and delivery skills more quickly allowing them to become better speakers faster. Personalizing an event to each attendee sounds pretty cool. Read the section about using the data collected during the registration process. It's interesting to think the data could be cross-referenced to bring delegates together for networking opportunities. Making important business contacts is a key reason people attend events.

App, App and Away: Understanding Planners' Event App Needs , by Mike May - 1 views

  • Mobile app developers claim they have been creating event apps for 5 years, but 2013 is merely the second year of meaningful commercial deployment, with exploding growth expected over the next 3 years.
  • The Omni app expedites a number of activities, from menu and floor plan reviews to session changes and temperature adjustments. It is pre-loaded with BEOs, group resume, agenda, and interactive floor plans.
  • an event marketing coordinator has been loading, formatting and updating lots of content using a Content Management System (CMS) interface.

  • As evidence of the demand for event apps, adoption rates or app downloads are hitting the 80% range, and usage measures like app visits or page views are trending higher too.
  • Just last month, Marriott Hotels announced its new app, Red Coat Direct. Like the Omni app, Marriott touts their app will grant any meeting wish (within reason) so planners never leave their meeting room.
  •
More and more mobile apps for meeting attendees are being created to help enhance the meeting experience.  This article discusses the growing demand for more reliable meeting apps, as well as tips and recommendations on what to consider as one goes about developing an app.  Meeting apps are unique in that they must be property-specific because of the many core features that align with property information.  Core features include, but are not limited to: session schedule and description, speaker photo and bio, attendee profile and schedule, and documents (i.e., PowerPoint presentations).  Mobile meeting apps are not without much effort from event coordinators/organizers plugging the information useful to attendees.  Apps are meeting-specific as they are property-specific.

Nicemeeting is just one of many new hospitality applications that enhances the event managing process for event planners. According to the article, it has the capability to turn technology, such as an Ipad or mobile device, into "a full-featured personal conference display." It creates an entirely interactive space. I think that this idea was brilliant, because regardless of whether people like it or not, cell phones are going to be present in the meeting space. Emerging New Technologies - Future Technology - Fogscreen - 0 views

  • The imagined possibilities for fogscreen technology, an emerging new technology, include the projection of corporate logos, messages and other images.
  • Caesar's Palace's objective was to showcase how they can change the environment of a static room, explained Reina Herschdorfer, executive director of catering/conventions and events for Caesar's Palace.
  • Fogscreen technology is an emerging technology that is dry, so attendees and guest will not walk through the fog and get wet.
  •
The article show us that when planning a convention, meeting planners consider how to incorporate a range of emerging new technologies for the program. MPI used a fog screen. The imagined possibilities for fogscreen technology, an emerging new technology, include the projection of corporate logos, messages and other images. Event and meeting planners should know about future technologies and how/when to use them in various programs. As part of the MPI WEC 2008 opening reception sponsored by Meetings by Harrah's at Caesar's Palace, Las Vegas, attendees walked through a fogscreen of the MPI logo as they entered the opening cocktail reception. Caesar's Palace's objective was to showcase how they can change the environment of a static room, explained Reina Herschdorfer, executive director of catering/conventions and events for Caesar's Palace. Fogscreen technology is an emerging technology that is dry, so attendees and guest will not walk through the fog and get wet.
  •
The FogScreen is an extraordinary display option that offers a seamless projection area made, as the name suggests, of dry fog. Using ordinary water, a flat thin layer of mist is created, onto which you can make high-quality projections - that you can walk through. The fog feels cool and dry to touch and, by varying the density of the fog, different effects can be created to suit the venue and your purpose.  The screen is created by using a suspended fog generating device with no frame around, and works with video projectors. The fog they use is dry, so it doesn't make you wet even if you stay under the Fog Screen device for a long time.  The fog is made of ordinary water with no chemicals what so ever. With two projectors, you can project different images on both sides of the screen. It is a display device which is the application of computer graphics. With Fogscreen, planners are able to make better visual effect and encourage more participation and engagement of attendees. However, Fogscreen hasn't been widely used in terms of high prices.
