Ten Fresh Event Safety Tips for a Brave New World - 0 views

  • From eliminating foreseeable risks to being prepared for the worst, there’s never been a more critical time for event marketers to arm themselves with the intelligence and resources necessary to maintain safe and secure event
  • In the event of an emergency, especially a medical crisis, documenting the incident is vital to keeping insurance premiums in check and staff informed.
  • “You want to document everything to make sure your insurance is covered, your event is covered and everyone knows what happened,” says Connor Fitzpatrick, coo at event medical services company
  • ...13 more annotations...
  • When it comes to selecting a location for your event, make sure the venue is willing to do its part to communicate key messaging to attendees. Remember: if an incident occurs, cooperation will be key.
  • Might sound like a no-brainer, but establishing exactly who is in charge of what and when can save precious minutes in an emergency. From brand ambassadors to event managers, everyone should be crystal clear about what their role entails.
  • “The key thing here is when it comes to decision-making, who is in charge?” says Shannon Jones, vp at Civic Entertainment Group. “The chain of command at an event needs to filter to the overall broader chain of command in an emergency situation as it relates to the company or brand.”
  • The uptick in terrorist attacks, including the Las Vegas shooting, which was executed from a hotel room and stands as the deadliest mass shooting in modern U.S. history, has many event marketers on edge. And while planning for these types of crises is essential, don’t assume that past tactics will be used at future events
  • The approach may vary depending on your budget, but implementing an attendee screening process is a highly effective security measure that can be executed before the event even begins. “Many events these days, particularly the corporate activation events, are free,” says Anthony Davis, president at AD Entertainment Services. “So, you have an audience that has not paid an admission or whatever format you use to access them.
  • Medical emergencies can, and do, occur at events of every variety, so having medical personnel on-site is crucial. Just as important is ensuring that the team is friendly enough for attendees to approach in the case of an emergency. Remember that uniformed first responders can be intimidating, especially in regards to drug-related incidents.
  • Hiring security staff is a great start when it comes to maintaining a safe event, but communicating your event’s layout, including areas of concern, is absolutely essential to getting the most bang for your security buck.
  • Bad news travels fast, so you have to be clear about who has the authority to develop crisis communications. (Hint: It’s not the guy handing out samples.)
  • You don’t want a brand ambassador or event staff taking it upon themselves to communicate what’s going on if there is some sort of emergency information. The cascade of information in that scenario is really critical as is deciding what the key points are and the information you want them to disseminate.”
  • When it comes to event safety and security, there is probably no more important document than your on-site emergency action plan. It’s an essential guide to navigating and preparing for foreseeable risks, informing event staffers of the appropriate safety protocol and ensuring insurance premiums don’t skyrocket
  • Every live experience is unique, so it’s important to establish priorities for taking action in a variety of emergency scenarios. If you fail to do so, you may find yourself in hot water with your employer, your insurance agency or the law.
  • In an industry that prides itself on producing unforgettable experiences, the last thing you want burning in your attendees’ minds is how poorly your staff handled an emergency. So, be informed, be attentive and be prepared—but don’t let the process get you down.
  • As Davis puts it, “For years we’ve taken it for granted that it’s a fun day, it’s a nice special event, let’s just get out and have fun. And we should still have that mentality. We shouldn’t let recent terrorist acts or potential acts deter us from producing special events. The onus is now on us to be more creative in terms of our staffing.”

This article reviews ten tips on how companies can better prepare for event security. This article offers insight on tips to navigate event security. For example, one tip is to document everything. Video conferencing is making event management that much easier. Not only does it make meeting to make final decisions and plans regarding an event more convenient, but video conferencing can also be used within an event for out of town participants. In a digital age, apps that can bundle all the facets of planning with meetings is a competitive edge.

Three Ways to Overcome Hotel Accounting Challenges - 0 views

  • Managing payroll is a constant challenge, so it’s critical for hoteliers to have a way to monitor daily labor costs, manage overtime, oversee daily payroll transactions, and have access to simple reporting functions.
  • Adopting a cloud-based reporting system can offer seamless labor monitoring and management from clock-in to paycheck while giving hoteliers on-demand management of earnings to manage transactions in real time.
  • Hoteliers may have a difficult time deciphering what story the data is telling and which levers to pull to remedy an issue or to replicate success. Business intelligence and analytics tool can point to where efficiencies can be improved and how to best reduce expenses.

  • Adopting an operations management platform that allows hoteliers to import data into one centralized dashboard combines critical accounting and performance data to aid hoteliers in identifying trends and making more informed decisions.
  • Hoteliers must expect the best but prepare for the worst and have a back-up accounting team in place ready to resume operations in the event of a disaster.
  • While increased corporate travel demand and a healthy economy paint a rosy picture for the hotel industry, the report also warns that the lodging ecosystem is vulnerable to threats from multiple fronts.
  • These unique challenges require hotels to be nimble, educated, and equipped with the latest technology to streamline processes and drive financial performance.
  • Hotels live or die on the ebb and flow of fluctuations in their business.
  • hotel-specific accountants can scale on demand to offer the needed expertise and ramp up quickly.
  • Because the hotel industry has a very specific set of needs, it is imperative for hoteliers have the right tools to navigate today’s challenges. The global travel industry shows no signs of slowing down any time soon, so hotels must incorporate cutting-edge technology to streamline operations, optimize labor management, and access critical data while preparing for the next unexpected event.
  •
This particular article on hospitality and tourism accounting states that the global travel industry is expanding at an accelerated rate. Although there are high demands in corporate travel and high level of satisfaction in the economy, the ever growing industry is vulnerable to many risks given by its consumers. Just as much as the guests utilizing these hospitality services are becoming more pressing towards great prices and expressing concern in the quality of service they receive, hotel businesses are adamant about increasing awareness in cost and profit. To balance all these exclusive challenges, hotels are insisting on being educated and equipped with the most up-to-date technological advances to keep up with the ever demanding industry. With this in mind, the article states three methods to conquer the challenges faced today. The first method is to utilize a cloud based system to keep track of all the innumerous activities present to keep the business running. Due to the fact that a hotel is run by an overflowing amount of employees, all with different jobs and tasks, all using different systems respective to their departments, and require several types of pay (part-time, full-time, tipped employees) methods, it is a challenge to keep things efficient without a proper system. This is the reason why the article recommends using a cloud based system to keep track of the daily labor costs, overtime management, daily payroll transactions, and incorporate easy accessibility to reporting functions. The cloud based system will be beneficial in keeping everything in record beginning from the moment an employees clocks in to the end where they receive their paycheck, as well as, the ability to manage transactions. The second method is to centralize all the various sources of data. Hotels have a countless amount of data being stored. That can range from guest satisfaction satisfaction survey and comment reports, PMS data, to financial reports. With all these busy ac

The hospitality industry today is said to be one of the fastest growing sectors in the world, as demands for travel accompanied by a healthy economy has pushed a flourishing industry. As the industry grows, businesses are having to become more cost/profit-conscious while maintaining an increased importance on price, quality, and level of service, all the while sustaining a profitable organization. The article states that business owners are relying more on financial data to ensure maximum efficiency and profitability out of each and every contract. The article goes on to discuss three new smart-technology accounting solutions for various industry challenges. Cloud-based reporting systems are beneficial as the hospitality industry has many different waged employees that make payroll challenging; cloud-based systems make monitoring and managing staff significantly easier. With all of the varying data that the hospitality industry finds necessary, it is often easy to be overwhelmed with data/numbers. Data from one source may indicate trends in one direction while data from another source may contradict. Operations management platforms can be put into play that can decipher through the data and find out the important details like what efficiencies can be improved and how to best reduce expenses. These platforms combine critical accounting and performance data to benefit business owners by identifying trends and aiding better informed decisions. Lastly, the article finishes with how the hospitality industry can be unpredictable and that back-up accounting teams may be necessary in times of distress.

This article mentions way to overcome hotel accounting challenges. The article mentioned that technology has been helping the industry increase revenue, minimize cost, and maximize profit without affecting the quality of the service. One of the ways the author mentioned was to use cloud-based reporting for labor. Hotels have many employees working at all different times of the day and their pay rate varies, therefore it is much easier to monitor labor cost, have employees clock in electronically, and complete payroll having an electronic accounting system. Another way is to centralize multiple data sources. "Hoteliers may have a difficult time deciphering what story the data is telling and which levers to pull to remedy an issue or to replicate success. Business intelligence and analytics tool can point to where efficiencies can be improved and how to best reduce expenses." As a manager, its easier to monitor all your reports on one page making it easier to point out the areas that need improvement. Lately, having back-up accounting teams is a smart idea. Hotels are 24/7 hour establishments that host rooms for the needs of many people. In case of a natural disaster, the hotel must have a team ready to tackle the challenges on making room for those guests in need. "The global travel industry shows no signs of slowing down any time soon, so hotels must incorporate cutting-edge technology to streamline operations, optimize labor management, and access critical data while preparing for the next unexpected event."

MOD 9: This article is about how hotels are able to overcome accounting challenges within their industry. According to the article, the travel industry on a global scale is one of the fastest growing industries. While this is great news for the hospitality industry, the lodging sector is prone to vulnerability from trying to stay competitive while being cost and profit conscious and providing customized service. With these challenges, this article discloses three ways hotels can attempt to overcome them and they include cloud-based reporting for labor, centralize multiple data sources, and back-up accounting teams. When managing hotel staff, there are some challenges in overseeing that employees are compliant to their schedule, managing payroll and monitoring labor costs for each department. Implementing a cloud-based labor reporting system could help alleviate those challenges. A similar example would be like ADP, my own property uses this system to monitor labor costs as well as manage payroll and scheduling issues. With implementing multiple centralized data sources, it helps hoteliers to easily identify trends and help make more informed decisions based on the data shown from their data sources. With any property, it is always in their best interest to prepare for worst case scenarios which could be a natural disaster as an example. By establishing a back-up accounting team, hoteliers will be able to make more informative decisions with their back-up accounting team to match the changes of the industry after events like a natural disaster.
  •
The article discusses how hotels can overcome accounting obstacles. Firstly managing payroll is cumbersome, so a cloud-based reporting system can provide an easy way to monitor labour and manage overtime, and daily payroll transactions. Secondly, hotels have a difficult time to read data as data can come from a huge variety of sources: STR reports, PMS data, satisfaction surveys, comments. Hotels need a centralized dashboard which combines all critical accounting and performance data to assist hotels in making better decisions. Lastly, the article talks about hotels needing a back-up accounting team in case of disasters. In-house accounting teams may not be able to tackle on one-time event disasters and there must be a back-up team in place in times of urgency. The author, Scott Watson, executive vice president of sales and marketing at a cloud-based financial platform, sees that hotels are becoming more "cost and profit conscious" and I agree with him. Technology solutions are what hotels are craving right now to increase revenue, minimize costs, and maximize profits without sacrificing service quality.

This article helps guides hotels in how to overcome challenges when it comes to the accounting department in any situation that deals with staff tracking, how to decipher intricate data, and what to do in emergencies. The article details the usefulness of the Cloud and keeping track of staff members that are FOH and BOH that are both hourly and salary. That the accounting department could simply look them up in the cloud rather than searching through paperwork to understand exactly what their role is in the hotel and pay them accordingly. The article also goes over how having multiple centralized data sources can help accountants understand information from reports, guest satisfaction questionnaires, and other forms of reporting to pinpoint exactly what needs to be changed to become more efficient in the company. Lastly, the article covers how having back up accounting teams could be a definite positive just in case of emergencies (i.e. weather) so accounting can still be in progress no matter what situation occurs and the hotel can run smoothly.

Managed WiFi Hotel Solutions, Benefits, Features | Blueprint RF - 1 views

  • Yet, adding IoT solutions or hosting large conferences may strain your existing system. Your tech amenities won’t deliver a high return on investment without a stable and secure wireless network.
  • Overseeing your WiFi system is a full-time job. It requires time and financial resources to update infrastructure, replace old equipment, and patch firmware.
  • Fortunately, managed WiFi providers solve your wireless dilemma with tailored recommendations.
  • ...9 more annotations...
  • What does managed WiFi mean? With managed WiFi, you outsource your wireless network to a third-party vendor.
  • Hotel owners switch to a managed WiFi service to preserve time and financial resources while providing a secure and reliable guest WiFi network. Managed solutions offer features, like reporting options and capital planning assistance, that support your current and longterm goals.
  • In short, your managed WiFi network runs seamlessly in the background. Your IT team isn’t overburdened with infrastructure improvements. And management has access to advanced analytics and reporting features to adjust bandwidth and predict future needs.
  • Enterprises turn to managed service providers for their “skilled human resources, infrastructure, and industry certifications.”
  • With managed WiFi services, your provider develops a secure wireless network and monitors it 24/7/365. You pay a monthly fee, which helps you avoid unexpected expenses.
  • For many hoteliers, the best part of a managed WiFi service is that you can simply call for help. Your provider remotely evaluates your system. They perform updates, identify hazards, and work with you to troubleshoot minor issues. From afar, a managed WiFi provider can even boost a nearby signal as a temporary patch during a device outage. For challenging problems, a certified technician visits your location and resolves the issue.
  • The system learns, tracks and adapts to your guest and property needs without forgoing essential security and privacy protocols.
  • top managed WiFi providers also offer options like:  Conference management features handle VLAN configurations, bandwidth shaping, extra ports, and even online scheduling and resource guides for events.  24/7/365 customer support services assist your hotel staff and hotel guests for positive experiences with your high-speed wireless network.
  • It no longer makes sense to employ a full staff to manage your hotel’s wireless network. Instead, partner with a reputable managed WiFi service provider dedicated to the hospitality industry.
  •
The author presents the argument that optimum performance of a hotel's wi-fi network is critical to a hote and that the demands of IoT, large conferences and the need to update infrastructure require constant oversight. It is argued that outsourcing the hotel wi-fi network to a managed WiFi provider has many advantages over placing the burden and responsibility on the hotel IT team. In my opinion, the article makes a strong case for engaging a managed WiFi provider. What would have been a useful addition to the article is how hotel's should go about managing and overseeing the provider that they engage.

Research on Event Software Shows the Use of Technology in Event Management is Growing - 0 views

  •
Over half of all respondents of the survey (56%) also stated that the ability to allow delegates to register online was also an important part of modern event management. Online event registration empowers delegates to manage their own registration process - by removing event managers from this stage, it enables them to focus on more productive areas. The use of events software to help manage part or all of the event management process can be further extended to cover the post event analysis. Ensuring events provide a high ROI is one of the key metrics that event managers are measured on. Event software is now one of the fastest growing areas in the event management sector. Taking advantage of the benefits of automation and online software tools is helping to keep the event industry afloat during this recession. Increasing efficiency and reducing the cost of event management all helps increase the return on investment provided to both delegates and event hosts.

  • Exclusive: Condé Nast Launches New Event Management Software—With a Twist
    • rnobl005

Conde Nast is a mass media company publishing well known magazines such as Vogue and Conde Nast Traveler. Over the past few years their brands have incorporated more and more events into their repertoire, so I wasn't surprised when I came across this article a few months back. In 2017 they acquired an event concierge platform called Ribyt which has evolved into Concierge.com. Not only is it a guest management software system - it also gives users access to a team of hospitality professionals who can handle project management, staffing, web design, and branding details. I was in the event industry for 5 years prior to starting the graduate program at FIU so I am always excited to see how tech and the events world intersect. I think this software is really innovative and believe it can be a great resource for meeting planners.
  • An expansion of event concierge platform Ribyt—which Condé Nast acquired in March 2017—Concierge.com promises to offer “software with a service.”
  • Translation: In addition to online registration and guest management, users will have full access to a team of seasoned event and hospitality experts.
  • ...5 more annotations...
  • “Ribyt started as a home-grown software for managing guests attending our more complex events—events with multiple levels of invitee and variable itineraries,”
  • The resulting platform offers a variety of features and services. On the software side, it can design and deploy event invites, track activity, manage travel accommodations, generate personalized itineraries for guests, delegate responsibilities to team members, and more. The accompanying service side, though, is what makes the platform unique: Concierge.com's team of professionals can handle everything from overall project management to event-day staffing to website design and branding details.
    • rnobl005

To me this is a unique selling point - I don't know of any other management programs that includes people who can help you with the the planning aspects of your event.
  • Concierge.com is a turnkey solution for time-strapped event producers
  • Clients can use the self-service software on its own, or tap into the full-service option. Pricing is based on the number of guests being managed.
    • rnobl005

Again, I like that they've made their service scalable. This takes into consideration that not every client is the same.
  • “Consumers, and as a consequence marketers, are valuing in-person experiences more and more,” says Murphy. “As such, Condé Nast is leveraging its strong heritage in creating unforgettable moments—like the Vanity Fair Oscar Party and Glamour's Women of the Year—to create a full-service offering for clients looking to connect with consumers in powerful ways.”

  • There is an overabundance of apps on the market, each with a distinct functionality (and) the need to implement multiple apps can become cumbersome, confusing and cost-prohibitive for most planners,” Wynant said.
  • He continued, “Our innovative technology not only has the ‘cool factor’ of turning smartphones into microphones but the event planners who used Tap To Speak report a 400 percent boost in audience engagement during their live events. We seamlessly integrate into the Eventinterface event program and itinerary feature – turning the audience mobile devices into feedback machines. The combination of our respective areas of expertise in combination with modern event technology gives even more power to event planners to make their events even better.”
  • “Combining the expertise of four event-industry leaders is a truly exciting prospect,” Arzoni said. “We’re ready to play our role in ensuring ETH is invaluable for anyone in the event and meeting planning industry.” Combined, EventTechHub’s founding companies have served more than 1,500 events of 25-30,000 participants in 40 countries for companies including Google, Applebee’s and Johns Hopkins University, which have worked with one or multiple EventTechHub solutions.

Eventbrite Launches 'Neon' App, An Event Planner's Mobile Command Center - Forbes - 1 views

  • Neon allows event organizers to sell tickets as the event—be it concert, lecture, educational class, etc.—is about to happen or after it has already begun, on the spot. In fact, if showtime is closing in, the app allows those in charge to offer special last-minute deals to help fill the venue. The program can accept mobile payments as well, making a manager or booker’s iPhone an all-in-one command center.
  • Neon also collects all kinds of data connected to the event, with information on ticket sales, check-ins, and everything in between accessible at any time. This data is important to venue owners and those booking events, as it can help when planning future events, dictating times, prices, and showing what kinds of events are most popular.
  •
Neon is a new app designed by Eventbrite to be used by Event Planners in order to help organize the events they are coordinating. The app is available for iPod, iPad and the iPhone making it conveniently accessible through one's mobile device. The app allows event organizers to sell tickets in advance to an even as well as provide last minute deals to fill all remaining spots. The app even allows payment to be taken right from the event organizer's mobile device. The app also allows the user to manage guest lists and even helps those who have access to the app to make customer service decisions so that disgruntled guests are not sent to a different location to settle ticket disputes. With all the data the app collects even organizers are able to see important data pertaining to popularity of certain events as well as price variations. The app was designed to be used in dark places. This feature, along with many others makes it user friendly and it is helping event organizers to keep track of important data that will allow them to better assist customers in the future.
  •
I think I'd need to see it in action. The Forbes article sounds a lot like an Eventbrite press release. I like the idea in principal, but it almost sounds like too much to jam into a single app. Tickets sales, venue status, customer service, revenue tracking.,,, Deployed and linked across multiple tablets, each with it's own purpose and/or scattered across the event venue (with users in some sort of identifiable uniform), I can see it being useful. This also seems like a bit of a departure from straight tickets sales. Who else is in the market space? I'd be interested if Ticket Master is also coming online with event software.

4 Ways Technology Is Changing the Events Industry - 2 views

  • events contribute $115 billion to the United States gross domestic product (GDP), with subsequent billions funneled to both state and federal tax revenue.
  • it's also getting bigger in nations like the U.K., India and Japan.
  • Mobile ticketing also allows vendors to do a lot more.

  • As a result, venues, promoters and planners need to partner with providers who can take their experiences mobile.
  • he use of event technology can create a 20 percent increase in event attendance while reducing related costs by up to 30 percent. Even so, numerous studies also indicate that one of the biggest reasons events professionals don’t integrate new technologies is due to costs.
  • Technologies like scannable QR codes, much like the ones used for online ticketing, can help event professionals collect data from attendees that are actively scanning different objects at a live event.
  • The most likely development in the near term is cashless events.
  • Virtual attendance has the potential to provide low-cost options for people who otherwise wouldn’t be willing to spend money on tickets. Additionally, those people could have a view from the best seats in the house without damaging ticket sales in those areas.
  • ut factors like cost and concerns surrounding the way tech integration may impact event experience continue to prevent some professionals from trying new solutions.
  • For event organizers, the key will be assessing what technologies have the best return on investment, both in revenue generation and attendee satisfaction. Those that capitalize on the right technologies stand to gain a significant competitive advantage in the evolving event landscape.
  •
The events industry is growing in the United States and around the world. Event managers need to keep up with the current and future technology trends in the industry. Mobile ticketing, cost reduction, gathering data from event attendees, and cashless events are all areas that event managers need to use in their operations. Using technology at events can help to reduce costs and improve attendance. In addition, the future in events could mean having a cashless event and also implementing virtual attendance. Event managers need to evaluate the technology that is the most cost-effective. The initial cost may be high; however, event managers need to look at the return on investment.

Event management software firm Active Network has launched a new suite of mobile applications for meetings and events that is designed to encourage attendees to engage with meetings' goals and conferences' brands, while helping the executives running them to better and more efficiently respond to attendees' needs. While Active Network has explored the possibility for years, it felt that earlier technologies were not good enough - for example, Bluetooth requires a multi-step device pairing before the exchange, and would drain mobile batteries too fast, says Miller.

Event Planning In The Hotel Of The Future - 0 views

  • As one of the strongest drivers for change in the event industry, technology plays a prominent role in the planning and management of events
  • This includes robot butlers, entertainment, greeters and business services which for planning events can be more cost effective and reduce human error, streamlining the process of communicating with the systems to get exactly what you want.
  • home and collect a suitcase, you can go straight from the office and jump on a plane.

  • Automated systems can be limited and therefore the personalization and “special requests” that can be organized between event planner and venue as part of a long-lasting relationship might be lost
  • This is a fantastic opportunity for event professionals as it makes event themes limitless and allows the location to be designed around the event rather
  • than the other way around.
  • Event planners will also be able to use this information to personally plan itineraries to the precise likes and dislikes of individual guests and have more accurate data for destination events
  •
With technology advancing so rapidly now a days, event planners within the hotel industry started using it to plan events. When it comes to event planning, a lot goes into it to keep everything on time and in order. Technology can assist planners with tasks. Using technology within this industry can assist in decreasing human error. Some hotels started using robot butlers to serve guest. This can help reduce costs because they don't have to pay employees. A very interesting idea about these robotic butlers is they are able to speak multiple languages so if an event is having people from around the world coming to it, it will break the language barrier. Planners can use personal travel avatars. These avatars help them plan itineraries for the guest. A technology improvement planners use are made-to-order venues. These venues assemble based to their environment. It is easier for planners to use these when setting up an event. These few examples just shows how technology advancements has increased opportunities for hotel planners to plan their events more efficiently.
