  • Why these tools are failing to supplant a technology as static as email is a question vexing the minds of countless IT managers. The reason for enterprise collaboration is still so hazy that relatively few CIOs agree on what challenges lie ahead.
  • CIOs and other IT decision makers face a host of challenges in their pursuit of enterprise collaboration, some of which are ingrained into the culture of their companies. Resistance to change is the obstacle facing CIOs at most companies and the reasons could include anything from workplace culture to perceived cost and complexity, says Scott McCool, group vice president of IT and CIO at Polycom.
  • One of the biggest challenges is determining how to implement enterprise collaboration in cross-functional manner, says John Abel, senior vice president of IT at Hitachi Data Systems,“Teams are pretty good at communicating within their own group but when it comes to integrating across departments silos tend to happen, which ultimately becomes problematic when each team needs to align on certain campaigns or key topics,” he says.NetScout’s CIO and Senior Vice President of Services Ken Boyd says the landscape of collaboration tools available today makes it difficult to pick the best ones for a specific workforce.
  • “Locating a collaboration tools provider that can offer the right balance for the needs of our enterprise users can be a significant challenge,” he says. There are many point solutions for voice, video, chat and document collaboration, but splicing together those solutions from multiple vendors isn’t always the most productive or cost -effective method.
  • “There is an atomic shift taking place in how the enterprise operates, and so the CIO and CIO's team must decide whether [on-]premises and cloud-based collaboration tools can and will address the needs of the enterprise users -- anytime, anywhere, and on any device -- plus smoothly work between business and consumer applications,” says Boyd.

  • Chat-centric work management, as typified by Slack-style work chat, is getting a tremendous surge in attention recently, and is the now dominant form of message-centric work technology, edging out follow-centric work media solutions (like Yammer, Jive, and IBM Connections).
  • Workforce communications — relying on a more top-down messaging approach for the mobile workforce — is enjoying a great surge in adoption, but is principally oriented toward the ‘hardwork’ done by workers in retail, manufacturing, transport, security, and construction, and away from the ‘softwork’ done by office workers.   • Work Processing Will Be The New Normal Advertisement What I anticipate is the convergence on a work processing paradigm, with at least these features: Advertisement Work processing ‘docs’ will exist as online assemblages, and not as ‘files’. As a result they will be principally shared through links, access rights, or web publishing, and not as attachments, files, or PDFs, except when exported by necessity. Work processing apps will incorporate some metaphors from word processing like styling text, manipulating various sorts of lists, sections, headings, and so on. Work processing will continue the notions of sharing and co-editing from early pioneers (Google Docs in particular), like edit-oriented comments, sharing through access-control links, and so on. Work processing will lift ideas from work chat tools, such as bots, commands, and @mentions. Work processing will adopt some principles from task management, namely tasks and related metadata, which can be embedded within work processing content, added in comments or other annotations, or appended to ‘docs’ or doc elements by participants through work chat-style bot or chat communications.

    "I've been exploring a growing list of web-based tools for the creation and management of what most would call 'documents' - assemblages of text, images, lists, embedded video, audio and other media - but which, are in fact, something quite different than the precursors, like Microsoft Word and Apple Pages documents. The big shift underlying these new tools is that they are not oriented around printing onto paper, or digital analogues of paper, like PDF. Instead, they take as a given that the creation, management, and sharing of these assemblages of information will take place nearly all the time online, and will be social at the core: coediting, commenting, and sharing are not afterthoughts grafted onto a 'work processing' architecture. As a result, I am referring to these tools - like the pioneering Google Docs, and newer entrants Dropbox Paper, Quip, Draft, and Notion - as 'work processing' tools. This gets across the idea that we aren't just pushing words onto paper through agency of word processing apps, we're capturing and sharing information that's critical to our increasingly digital businesses, to be accessed and leveraged in digital-first use cases. In a recent piece on Medium, Documents are the new Email, I made the case that old style 'documents' are declining as a percentage of overall work communications, with larger percentages shifting to chat, texting, and work media (enterprise social networks). And, like email, documents are increasingly disliked as a means to communicate. And I suggested that, over time, these older word processing documents - and the use cases that have built up around them - will decline. At the same time, I believe there is a great deal of promise in 'work processing' tools, which are based around web publishing, web notions of sharing and co-creation, and the allure of content-centric work management."

But what isn't generally acknowledged is that business productivity was much higher in the years preceding the emergence of Web 2.0 social collaboration tools. Paper is Dropbox's new vision for how teams can work together - 0 views

  • Project managers can add to-do lists, complete with checkboxes and "@" mentions to the member of your team who needs to take care of the associated task. If coding is more your game, you can start typing lines of code right into Paper and it'll automatically format it appropriately. Beyond text, any file you store in your Dropbox can quickly be added to Paper -- if you grab the sharing URL of the file and paste it into Paper, the program automatically formats a preview for you. That way, you can peek at an Excel or PowerPoint file right in line with the rest of your Paper document, or click to see it in full or save to your Dropbox. Google Docs files are even supported here -- it's the first time Dropbox has really integrated with Docs and Drive, itself a competitor to Dropbox's main business.

    " Six months ago, Dropbox quietly announced a collaborative note-taking tool called Notes and launched it in an invite-only beta test. But starting today, the product is being officially branded as Dropbox Paper and the beta test is expanding significantly. You'll still need an invite, but the company gave us a preview of what's probably the biggest addition to Dropbox in years. It's far too early to tell if Paper will be able to keep up with entrenched tools from Google, Microsoft and many others -- but there are definitely some interesting features here that make it worth keeping an eye on. For now, Paper is a web-only app that you can access through your Dropbox account, although the company says it'll have a mobile app ready to go when the product comes out of beta. At first glance, Paper's UI is reminiscent of the scores of minimalist, lightweight text-editing apps that have come out in the past few years, such as IA Writer. But while IA Writer and its ilk are designed for solo composition, Paper is all about working together. As in Google Docs, multiple users can edit a document at the same time. Each is designated by a colored cursor, and the user's full name is displayed in the margins, crediting their contributions to the file. From a text perspective, Paper is quite basic; there's only one font and three sizes available. You can do your basic bold, italics, underline and strikethrough formatting and format text into a block quote, but that's about it. Dropbox specifically said that the purpose of Paper was to keep the focus on sharing ideas rather than formatting. In particular, the company made it so that you can use its app to share pretty much anything, regardless of what tools you might be using."

Workplace Productivity Battle Being Won By Microsoft - ARC - ARC - 0 views

  • Google Apps is still favored by small companies—deemed to be those with less than 500 employees—with 22.8% of respondents using the tools available, as compared to the 21.4% who have installed Office 365. Once you get past that employee level, however, Microsoft is dominating the space.
  • Office 365 is used by 30% of enterprise-level companies as part of their working practices, a 500% increase from 2014. Google Apps only accounts for 15% of the market, although it is worth noting that both cloud apps have grown from a 5% share only 12 months ago. Private companies tend to go down the Google route, 24% compared to Microsoft’s 21%, but 34% of publicly-traded organizations go for Microsoft over the 22% that use Google.
  • Cloud adoption is at an all-time high and Microsoft is winning over Google. The surprise is that large corporations, even in heavily regulated industries, are gaining confidence in using cloud apps. Following a survey of almost 120,000 global companies-both small and enterprise level-the report said that there had been a rise of 20% from last year in the number of businesses that employed a cloud application as their prime productivity tool. In 2014, 28% of respondents used the cloud with that figure increasing to 48% 12 months later. Granted, the sample size had also risen from 80,000 in the first survey, but the results bear out a perception that cloud-based solutions will become the norm."

The cloud-based platform will allow users to manage shared documents by assigning different tasks and deadlines to various collaborators. Making Collaboration Easier The service also includes a variety of features designed to make collaboration between team members easier, no matter where in the world they're located. A Paper app is coming to iOS and Android devices to enable users to work on documents even while offline. The Web interface, meanwhile, is currently available in 21 languages, an important feature for multi-lingual teams. Paper has already reached early enterprise adopters such as InVision, Ben & Jerry's, Shopify, Campaign Monitor, Getaround and Patreon, according to Dropbox. But the company appears to be positioning Paper to steal market share away from Google Docs and Microsoft Office 365. Microsoft Pitches Technology That Can Read Facial Expressions at Political Rallies - 0 views

  • On the 21st floor of a high-rise hotel in Cleveland, in a room full of political operatives, Microsoft’s Research Division was advertising a technology that could read each facial expression in a massive crowd, analyze the emotions, and report back in real time. “You could use this at a Trump rally,” a sales representative told me. At both the Republican and Democratic conventions, Microsoft sponsored event spaces for the news outlet Politico. Politico, in turn, hosted a series of Microsoft-sponsored discussions about the use of data technology in political campaigns. And throughout Politico’s spaces in both Philadelphia and Cleveland, Microsoft advertised an array of products from “Microsoft Cognitive Services,” its artificial intelligence and cloud computing division. At one exhibit, titled “Realtime Crowd Insights,” a small camera scanned the room, while a monitor displayed the captured image. Every five seconds, a new image would appear with data annotated for each face — an assigned serial number, gender, estimated age, and any emotions detected in the facial expression. When I approached, the machine labeled me “b2ff” and correctly identified me as a 23-year-old male.
  • “Realtime Crowd Insights” is an Application Programming Interface (API), or a software tool that connects web applications to Microsoft’s cloud computing services. Through Microsoft’s emotional analysis API — a component of Realtime Crowd Insights — applications send an image to Microsoft’s servers. Microsoft’s servers then analyze the faces and return emotional profiles for each one. In a November blog post, Microsoft said that the emotional analysis could detect “anger, contempt, fear, disgust, happiness, neutral, sadness or surprise.” Microsoft’s sales representatives told me that political campaigns could use the technology to measure the emotional impact of different talking points — and political scientists could use it to study crowd response at rallies.
  • Facial recognition technology — the identification of faces by name — is already widely used in secret by law enforcement, sports stadiums, retail stores, and even churches, despite being of questionable legality. As early as 2002, facial recognition technology was used at the Super Bowl to cross-reference the 100,000 attendees to a database of the faces of known criminals. The technology is controversial enough that in 2013, Google tried to ban the use of facial recognition apps in its Google glass system. But “Realtime Crowd Insights” is not true facial recognition — it could not identify me by name, only as “b2ff.” It did, however, store enough data on each face that it could continuously identify it with the same serial number, even hours later.   • Instead, “Realtime Crowd Insights” is an example of facial characterization technology — where computers analyze faces without necessarily identifying them. Facial characterization has many positive applications — it has been tested in the classroom, as a tool for spotting struggling students, and Microsoft has boasted that the tool will even help blind people read the faces around them. But facial characterization can also be used to assemble and store large profiles of information on individuals, even anonymously.

That would seem to suggest that their faces were being stored and processed without the consent that Microsoft’s policy requires,” Bedoya said. “You have to wonder: What happened to the face templates of the people who walked by that booth? Were they deleted? Or are they still in the system?” Microsoft officials declined to comment on exactly what information is collected on each face and what data is retained or stored, instead referring me to their privacy policy, which does not address the question.   • A new report suggests the most common activity among businesspeople using Microsoft collaboration tools is document sharing, and much of that activity occurs early in the week, on Monday and Tuesday.

Online and offline access to private or shared documents represents 81 percent of all business activity in harmon.ie's mobile apps and email products.  The research, which is based on data from 1,500 harmon.ie users from 800 companies in more than 75 countries, stresses the importance, and dominance, of documents in enterprise collaboration.

And the only thing you can do for interactions inside an email is click on a link and go to a website, where you have to re-authenticate. It's painful on desktop, it's impossible on mobile. That's why, for the majority of online retailers, north of 60 per cent of their website traffic is mobile - but only ten to 12 per cent of checkouts are mobile. And mobile traffic will continue increasing.

"AI can solve those pain points for you. You'll say, 'I want the cheapest flights from New York to San Francisco, what are the options?' And if you're not satisfied with the results, you can get a human to help. If we do this right, it becomes your primary interface for getting your tasks done. That sucks in a pretty big part of intent."
