Today's post was written by Jacob Guttman, IT Manager, Menchies It's hard to believe it when you look at our rapid growth, but Menchies is still a very young company. We were founded in 2007 with a single store in Valley Village, California. Now, we have more than 300 franchise locations around the world. Maintaining connections between Menchies headquarters, the franchise community, and our guests is critical to our success. In the past, we used hosted services for email, collaboration, and document management. And we used a separate, Java-based application for instant messaging. One of the most persistent challenges I faced was trying to support our company's growth with a set of applications that weren't tightly linked together and that didn't fit the day-to-day work needs of our employees. An increasing number of our employees want to be able to access email and other applications on a range of different devices, including their smartphone or tablet. Ultimately, they want to be able to connect with colleagues and seamlessly move information between applications without having to think much about the underlying technology. You can buy licenses and start the tenant creation, or you can start a trial (30 days) and then add licenses with in that 30 days. IMPORTANT INFORMATION Microsoft has two main service lines for Office 365 and three main pricing options (SKUs) within each service line; Office 365 Business and Office 365 Enterprise. FAQ What are the major differences between Office 365 Business and Office 365 Enterprise? Short answer is that it's all about the features you get and size of your business. Office 365 Business has a cap of 300 licenses, so if you are over that the go right to Enterprise. With the Enterprise SKUs, you get more features, but you have to pay a bit more. Take note that with the Business plans, there are limitations not seen in the Enterprise plans. Those limitations include: Microsoft support, Exchange hybrid, Active Directory Connect, SharePoint Online features, Exchange Online features, Microsoft FAST Track support/migrations and Office features. Make sure to do the research and buy the right plan for your business. Can I switch between Office 365 Plans? YES, you can upgrade/downgrade and switch between Office 365 Business and Enterprise plans. Can I mix Office 365 Plans? This tutorial on using conditional formatting to highlight dates is brought to us by MVP Frédéric Le Guen, with special acknowledgment and thanks to Ken Puls for assistance with translation from French to English. Date functions in Excel make it is possible to perform date calculations, like addition or subtraction, resulting in automated or semi-automated worksheets. The NOW function, which calculates values based on the current date and time, is a great example of this. Taking this functionality a step further, when you mix date functions with conditional formatting, you can create spreadsheets that display date alerts automatically when a deadline is near or differentiates between types of days, like weekends and weekdays. THE BASICS OF CONDITIONAL FORMATTING FOR DATES To find conditional formatting for dates, go to Home > Conditional Formatting > Highlight Cell Rules > A Date Occuring. www.office.com/setup You can select the following date options, ranging from yesterday to next month: www.office.com/setup These 10 date options generate rules based on the current date. If you have an Office 365 work or school account, the timing of when you receive new features may also depend on your organization's settings. Eventually, all Office 365 subscribers will receive the new features. If you don't see a feature you're expecting in your Office apps, there's no need to worry-it's on its way! NOTE: New builds are also rolled out this way. This means when a build becomes available, not all customers will receive the new features right away. However, you can expect it to come to your device soon. Who gets new features? All new features are included for free as part of your Office 365 subscription. If you have a work or school account, your administrator may control when you see new features. If you have a one-time purchase of Office 2016, you will receive security and performance updates but no new features. How do I get new features? We're all creators-each in our own way. I'm part of an organization that advocates for those who are creatively talented or gifted: artists, creators, and entrepreneurs. But I've found that we all bring creativity to our jobs in some form or another. I know that I can approach problems in a more creative way and find innovative solutions when I have the right tools and information within easy reach. At Copyright Alliance, we're a small team that serves more than 40 institutional members and thousands of artists around the country. For each of us, the ability to find and share files while on the go is a huge priority, especially because we tend to fill in for each other on different projects at a moment's notice. Balancing tasks like writing opinion pieces for news publications, giving talks at conferences, and meeting with members-all in the same day-is the norm. In the past, technology issues sometimes sapped my creative energy, making it difficult to stay focused on the task in front of me. Instead, I would have to scramble to find a document or a presentation that I needed. We had a file server at the office and I would routinely download all the documents I thought I would need before dashing off to the next engagement. This not only took extra time out of my day, it also wasn't a foolproof system. There were times when I just couldn't access the information I needed while out in the field. With Microsoft Office 365, all that has changed. Now that we have an online suite of tools for creating documents and managing them in a systematic way, we can all work together more fluidly. The menus and navigation in Microsoft SharePoint Online are simple to use, and it's reassuring to see exactly when a document was last updated. We're looking forward to using more of the tools in Office 365, including Microsoft Lync Online to make calls and hold meetings-all in a couple of clicks. April's Customer of the Month is Robert Aichele, Senior Manager, Store Communications at Jamba Juice. I've been at Jamba since 2009 managing internal communication, primarily store and field communication, with a hand in some broader projects connecting our strategic vision with the managers in the field. Our Yammer network debuted in 2011, catching on with a small group and then expanding quickly to include our entire Support Center. It was so popular we extended it to our company-owned store managers later that year, and it plateaued happily there for several months as an interesting tool to share ideas and problem solve operational issues when we needed to hear diverse perspectives quickly. I'm a firm believer in story telling as a means to engage employees with the "why" behind what we do as a company - and sometimes what we stop doing - and in the spring of 2012 we had a big story to tell. Our first National Hiring Day was happening in Jamba stores across the country as we prepared to hire thousands of new employees and ramp up for our busy summer season. We'd organized the event through traditional channels: our intranet, email, weekly task management publications, and pre-event conference calls. And we had big plans to collect photographs, interview hiring managers, and write up a recap to share the success stories with everyone after the fact. On the big day I logged into Yammer and got a big surprise. The event was unfolding in glorious detail right as it happened with photos, comments, personal stories, and genuine pride and enthusiasm for the Jamba brand just pouring out. We never wrote that recap.

As announced earlier today, over the next few days we are releasing an update to Microsoft account. For people who use Outlook.com, this includes a number of new features such as two-step verification, the ability to sign in with an alias and new international domains for your email address. OPTIONAL TWO-STEP VERIFICATION HELPS KEEP YOU MORE SECURE You can now choose to enable two-step verification for your entire account. Two-step verification is when we ask you for two pieces of information when you sign in to your account-your password plus a code sent to a phone or email that you gave us as security info. Many of you have asked for this and we're delighted to be able to offer this capability. Two-step verification is a great way to add extra protection to your account. Once you've enabled two-step verification, even if a criminal gets your password (for example, through malware on a friend's machine that you used, or if you use the same password for another service that gets breached) they can't access your account. You can read more about two-step verification here, or just start setting it up at https://account.live.com/proofs/Manage -it only takes a few minutes. SIGN IN WITH ANY ALIAS ON YOUR ACCOUNT We've heard from a lot of you that you love using Outlook.com but you wish you had more flexibility signing in. Many of you have added an email alias to your account, but you can't use the alias to sign in to your account. Previously the only option was to permanently rename your account, which is a hassle and requires you to reset certain devices. With this release, you can now sign in with any alias that has been added to your account. We've also simplified the experience of adding and managing aliases, with better advice on when you should add an alias vs. renaming your primary alias.
