THE FREE PLAN LOSES A FEATURE, BUT NOW THERE'S A MORE AFFORDABLE PAID PLAN Let's talk price first with Evernote, since it's the biggest change in the last year. The free plan no longer lets you email notes to Evernote, something most users enjoyed and used often prior to that change. Although you can get around this limitation with an IFTTT recipe, you won't get the full flexibility of Evernote's email-to-notes feature, such as specifying your destination notebook in the email subject line. So that's a bummer. On the positive side, however, Evernote introduced a new, more affordable paid plan called Evernote Plus. For $25 a year, you get offline notebooks for Evernote's mobile apps and the ability to lock the app on your phone with a PIN. Both of these used to require Evernote's Premium plan, which used to cost $45 a year. Finally, Evernote's Premium plan now costs $50 a year. But in return for those five extra bucks, you get larger upload limits: 10GB a month, instead of the previous 4GB data cap. Office 2016 is available immediately to Office 365 subscribers, as well as to individuals who would prefer to buy the software in standalone form. "We see Office 2016 as being just as important as the first release of Office," Microsoft group program manager Shawn Villaron told me in a briefing last week. "In the early days, Office was about bringing really important tools together to empower the individual for personal productivity. That was the way people wanted to work at that time. And for 20 to 30 years, Office fit right in. Today, things are changing. More people collaborate on work as groups and teams, so Office 2016 represents the change from personal productivity to team productivity." And that, really, is Office 2016 in a nutshell. If you're a typical information worker, student, or other person in need of standard productivity tools, Office 2016 of course works fine and represents an obvious and stable evolution from the Office version you're currently using. Part of the thrill of working for the Office Division is the opportunity to tackle thorny business issues on behalf of our customers while providing them with a road map for the future. That may be why an interesting article caught my attention this week. In it, the author examined some of the investments Microsoft is making in the unified communications space. While I didn't agree with all of the conclusions it contained, the article certainly underscored the interest in communications and collaboration and how to make people more productive. Compounding that need are the realities of the world we live in where instant access to information is expected, friends and coworkers are scattered across geographies and many adults are juggling multiple mobile devices. Key among them are new Excel co-authoring capabilities, Microsoft Teams, and new OneNote inking and accessibility updates. "Office 365 provides the broadest and deepest toolkit for collaboration between individuals, teams and entire organizations," Microsoft corporate vice president Kirk Koenigsbauer explains. Here's what's new in March. CO-AUTHORING IN EXCEL 2016 FOR WINDOWS Following similar functionality in Word and PowerPoint, Microsoft has enabled co-authoring capabilities in Excel for the Windows desktop (Excel 2016). (This feature is also available in Excel Online and Excel Mobile on Android, iOS, and Windows 10; Excel for Mac support is coming soon.) "This allows you to know who else is working with you in a spreadsheet, see where they're working and view changes automatically within seconds," Mr. Koenigsbauer says. Forms is the result of direct feedback from educators that they want to have a quizzing function with Office 365 Education. Educators told us they need an easy way to assess student progress on an ongoing basis. They also told us they want an assessment solution that will save them time, help differentiate instruction for all students and provide quiz takers with real-time personalized feedback. We designed Forms to be super easy so that anyone could confidently create a form and easily see results as they come in. Forms lets anyone with an Office 365 Education account create and/or respond to quizzes. What makes Forms unique and so valuable for educators is the automatic grading and in-quiz feedback functionality. Automatic grading does exactly what the name implies and greatly reduces the time spent grading. In-quiz feedback is a feature that lets quiz authors personalize messages depending how a student answers a question. For example, if a student answers a question incorrectly they may get a message, such as: "The answer is incorrect. I suggest you review chapter four as this will be on the final." HOW FORMS WORKS When an instructor wants to assess how well the students understand a given topic, they can quickly author a quiz directly from their desktop or mobile web browser. While we are lucky enough to work with extremely innovative clients that are eager to embrace the latest technology, we always advise them not to adopt the latest version of software until after the kinks are worked out. For a consumer it's not a big deal to be test driving new features and experimenting with the latest version. For a business user, if there's a bit of a learning curve, buggy features or errors that make an application crash, it can be a huge detriment to productivity. That's why we take a lot of time testing out new applications and operating systems before we encourage our clients to adopt them. You may have read that Microsoft recently unveiled Office 2016. We spent some time with it and have some mixed feedback for our business users. Here's the good, bad and the ugly surrounding the Office 2016 suite: The Good: Built to make business better. Word is probably our favorite when it comes to the new suite of products. While there has been minimal change to formatting and structure - the overall design has definitely gotten a facelift. We're all about function, though and when it comes to function we see definite improvements. Word has many more templates. One of the most popular articles on my blog in the last 12 months was related to its predecessor - Excel Surveys. Not only did that post get a lot of views, but it also got a lot of comments from people with questions about the features of Excel Surveys, or more importantly for some, the features it did not have. You can still use Excel Surveys, but Microsoft are in the process of transitioning to something better - Microsoft Forms. This version includes automatic grading and built-in student feedback. Here's what you need to know. GETTING STARTED You can find the homepage for Microsoft Forms by going to forms.office.com, or you may see Forms listed in the Office 365 App Launcher. Both links go to the same place. Technically, Forms is still in Preview but you can sign in with your Office 365 Education account today and start creating surveys and quizzes. The new Microsoft Forms work on desktop and mobile browsers. Once you are logged in, click the New button to create your first form. Replace Untitled Form with a title of your choice, and add a description underneath if you want to provide any directions or information for students or parents who are filling out your Form. BUILDING A FORM Tapping the Add Question button gives you access to the question types that are available to you in this new version of Microsoft Forms. The options include: Choice: for creating multiple choice questions! Tap or click the slider to allow people to select multiple answers. You can also tap or click the ellipses button to shuffle answers. Quiz: a multiple choice question that you allows you to select a correct answer for automatic grading.
