While we are lucky enough to work with extremely innovative clients that are eager to embrace the latest technology, we always advise them not to adopt the latest version of software until after the kinks are worked out. For a consumer it's not a big deal to be test driving new features and experimenting with the latest version. For a business user, if there's a bit of a learning curve, buggy features or errors that make an application crash, it can be a huge detriment to productivity. That's why we take a lot of time testing out new applications and operating systems before we encourage our clients to adopt them. You may have read that Microsoft recently unveiled Office 2016. We spent some time with it and have some mixed feedback for our business users. Here's the good, bad and the ugly surrounding the Office 2016 suite: The Good: Built to make business better. Word is probably our favorite when it comes to the new suite of products. While there has been minimal change to formatting and structure - the overall design has definitely gotten a facelift. We're all about function, though and when it comes to function we see definite improvements. Word has many more templates. This allows businesses to refine their documents and be more professional without having to go online and download templates to use inside Word. There are also some pretty awesome co-authoring features that we wrote about in this blog. Attachments in Outlook reference recent documents. This is a great feature since it's available on any device that you use Office on. You can easily attach documents in e-mails in Outlook or reference them in an e-mail on your phone. This is really valuable for mobile users or users that work from more than one machine. (Which, lets face is, 90% of the workforce these days does.) How to Use the New Microsoft Forms - www.office.com/setup www.office.com/setup Blogs: Have you seen the new Microsoft Forms? One of the most popular articles on my blog in the last 12 months was related to its predecessor - Excel Surveys. Not only did that post get a lot of views, but it also got a lot of comments from people with questions about the features of Excel Surveys, or more importantly for some, the features it did not have. You can still use Excel Surveys, but Microsoft are in the process of transitioning to something better - Microsoft Forms. This version includes automatic grading and built-in student feedback. Here's what you need to know. GETTING STARTED You can find the homepage for Microsoft Forms by going to forms.office.com, or you may see Forms listed in the Office 365 App Launcher. Both links go to the same place. Technically, Forms is still in Preview but you can sign in with your Office 365 Education account today and start creating surveys and quizzes. The new Microsoft Forms work on desktop and mobile browsers. Once you are logged in, click the New button to create your first form. Replace Untitled Form with a title of your choice, and add a description underneath if you want to provide any directions or information for students or parents who are filling out your Form. BUILDING A FORM Tapping the Add Question button gives you access to the question types that are available to you in this new version of Microsoft Forms. The options include: Choice: for creating multiple choice questions! Tap or click the slider to allow people to select multiple answers. You can also tap or click the ellipses button to shuffle answers. Quiz: a multiple choice question that you allows you to select a correct answer for automatic grading. Tapping the comment icon on each answer choice lets you add student feedback for each selection. Multiple answers and shuffled answers are also available to you when working on Quiz questions. Then we'll take you through the four basic steps to creating your own diagram. START VISIO Click the Start button, type Visio, and then click the Visio icon to open the program. (If Visio is open already, clickFile > New.) LOOK AT THE STARTER DIAGRAMS Before you dig in and start making things yourself, let's show you a couple starter diagrams that Visio has made for you. But if you don't have any experience, choose one of the other three starter diagrams. Double-click one of the starter diagram thumbnails. This is a starter diagram. Visio 2016 comes with many starter diagrams to give you ideas and examples. You can customize this starter diagram by typing your own text, adding your own shapes, and so on. Also, take a look at the tips and tricks. These help you work with the diagram. Let's open another starter diagram. Click File > New > Categories > Network. Single-click the Basic Network thumbnail. Until now, OneNote API calls could only be made with user-delegated permissions. This meant that your application would be restricted to scenarios that required a user to be signed in. With application-level permissions support, your application now supports scenarios that do not require a user to be signed in! Read the MSDN article for details of the OneNote API application-level permissions support. With the availability of OneNote API application-level permissions support, many new scenarios that weren't possible earlier are now enabled. Some example scenarios include: Analytics (based on OneNote metadata and content exposed by the OneNote API). Dashboards (based on OneNote metadata and content exposed by the OneNote API). Background provisioning of OneNote content. Background update of OneNote content. During the development process of building the new application-level permissions support for OneNote API, our Product Management and Engineering teams worked closely with third-party partners to ensure that relevant and key education scenarios were implemented. Mass conversion of highly formatted documents, complex spreadsheets, or animated presentations may not always be practical. As a result, people still open and edit Word, Excel, and PowerPoint documents after a move to Google Apps. Microsoft Office files, however, no longer need to be stored on your local computer, server, or even on MIcrosoft's OneDrive. Google Drive stores Microsoft Word, Excel, and PowerPoint files much like any file server. And Google encrypts the files when you upload them to Drive, and it stores the files in an encrypted state, too. Google also offers several ways to edit Microsoft Office files stored on Google Drive. Edit capabilities vary by operating system. Here's a look at the options as of August 2015. EDIT WITH MICROSOFT OFFICE The most full-featured way to edit a Word, Excel, or PowerPoint file stored on Google Drive is with Microsoft Office, of course. People who use Office on Windows may open Office files from Google Drive with a plug-in. Simply install the Google Drive plug-in for Microsoft Office, and Google Drive will display as a file storage location in Word, Excel, and PowerPoint (Figure A). From within your Office app, open a file on Google Drive, make your changes, then save the file back to Google Drive. We are excited to announce that the Cloud Storage Partner Program (CSPP) is now available for the Office apps on Android devices. Office on Windows desktops has long supported partner integrations that let you open and edit documents from a wide variety of storage locations. The CSPP, previously available for Office on iOS and Office Online, ensures that Office is the best way to get work done on all platforms, wherever your documents are stored. It's easy to add a cloud storage provider from the Add a place menu in the latest versions of Word, Excel and PowerPoint on Android. Then you can edit and share your documents stored with that provider as easily as you do with those stored on OneDrive. Here's a summary of the October updates: NEW USAGE REPORTS STARTING TO ROLL OUT TODAY In March, we launched the new reporting dashboard in the Office 365 admin center that makes it easier for you to efficiently monitor your service, identify issues, plan training and report back on the investment to your management. Today, we are happy to announce four new usage reports for active users, Email clients, Skype for Business clients and Office 365 Groups, that provide you with additional insights about how users in your organization are using and adopting Office 365. Here's a look at each report: Active Users report-Lets you see which of your users actively use one or more of the different Office 365 services. This report is especially helpful for admins to identify users for whom they might want to plan some additional training and communication. Often, after being assigned an Office 365 license, users need a helping hand to get started with the different services. They might not know how to activate the product or how the product can help them to be more productive.
